Copy-editing and language correction
Our method is ... a ‘start-to-finish’ professional approach to the publication process
(1) Before we proceed, we will discuss with you
- who is the target audience?
- what level of correction is required? *
- what ‘tone’ is required: formal/informal; scientific/lay audience ... ?
- who is the target Publisher/journal? What are that Publisher’s special requirements?
(2) During the editing of your text, we will
- indicate what definitive changes are needed
- highlight any inconsistencies and anything which is unclear
(3) After initial submission
- the Publisher requires the text to be revised: based on the Editor and/or Reviewer comments, we can discuss if further language correction is required
- the text has been accepted for publication and typeset: we can assist with the proofreading of your paper
* The following points can be taken into account when editing articles.
Research articles
- The article conforms with the requirements of the journal/Publisher to which it will eventually be submitted
- Grammar and spelling are correct and consistent (either British or American spelling, not a mixture)
- Text is clear and concise
- Cited figures and tables are present, and the correct figures and tables have been cited
- Figures are suitably presented: no spelling errors; consistency of lettertype within and between figures; information is legible ...
- Figure and table legends are consistent with the corresponding figure/table
- Tables and footnotes are clearly presented
- Abbreviations have been defined on their first occurrence in the text and in each figure and table legend
- Usage of abbreviations is consistent
- Usage of italics (species names, gene names, variables, etc.) is uniform
- Equations are displayed correctly: parentheses/brackets; italic/roman/bold face ...
- Cited references are in numerical or alphabetical order, as required
- Cited references are present in the Reference list and are in the correct order
- Listed references are accurate. These can be checked against PubMed if required. (Please indicate if you would prefer this extra check to be carried out)

Proofreading
Proofreading can be carried out on a word-for-word basis (typeset proof compared with original file/manuscript) or the proof can be read to check for mistakes, inconsistencies, etc.
In addition to full-length articles for publication and theses, we can proofread other sorts of text.

METHOD
There are many ways in which a language editor or proofreader works. The following pages are intended to indicate how you should deliver your material for correction, how the work is carried out, and how the charges for work are estimated.

Delivery of text
Text can be delivered in digital form (by e-mail) or in hardcopy form (by post).
Digital copy: The preferred format is Word. If your text is formatted in LateX, please supply a PDF version which can be annotated.
Hardcopy: Please supply the text in A4 format. If possible, please use Times New Roman, or a typeface which presents no ambiguities (for example in distinguishing between ‘1’ [the number ‘one’] and ‘l’ [the letter ‘el’]). Letter size should be no less than 10 point. Lines should be double-spaced or more.

Method of correction
Word files will be edited using ‘track changes’, enabling you to see the suggested changes. The suggested changes can then be accepted or declined as appropriate. In addition to the file with track changes, we will also supply you with a file in which all the changes have been incorporated.
Should questions or comments arise, we will either insert and highlight them in the text itself or place them in a comment box.
PDF files (for text originally formatted using LaTeX) will be annotated.
If a PDF proof is submitted electronically for proofreading, we will make electronic annotations on the PDF and return this. Should you prefer, we can also make handwritten changes on a printout of the PDF. This can either be faxed to you or a PDF made of it to return by e-mail.
An average-size research paper submitted electronically will be returned within five working days or as agreed. Large projects (e.g. books) will be delivered according to specific agreements. For hardcopy submissions, please allow extra time for postal delivery.

Rates
ANDERTON EDITING rates for editing and proofreading are based on the length and quality of the original text.
In principle, rates are based per hour, and vary according to the size of the assignment and the frequency of assignments.
An hourly rate allows the assignment to be priced by the amount of work actually done. Thus, a long but well-prepared text can be edited at a lower cost than, for example, one charged at a per-word rate. An hourly rate allows the editor to offer one single price for his time and experience. If a client requests the editor, for example, to only ensure that UK English has been used, or to only edit the main text (and not, for example, tables, figures or references), it is possible to do this.
To estimate the time required to complete the assignment, you should supply the text (or a representative part [1-2 pages for a short assignment, 5-10 pages for longer work]). You should also indicate the level of editing/proofreading required. Part of the text will be edited/proofread, both to obtain an estimate of the final cost and to give you a chance to see what the result will be.

ABOUT ANDERTON EDITING
ANDERTON EDITING is managed by
Gary Anderton, a native-English editor from New Zealand. He has been resident in the Netherlands since 1989, after 10 years in the UK.
Gary worked for more than 20 years in science publishing, from 1990 to 2010 with Elsevier Science (now Elsevier), a division of Reed Elsevier. He edited and managed a wide range of journals. Previously he worked in the publishing division of a major learned society in London, UK, and for a publisher of newspapers and trade magazines in Melbourne, Australia.
On marketing/communications assignments, Gary works in close cooperation with Arjan Dekker. Arjan is a senior communications advisor for a major Dutch financial services company. In the past 15 years, Arjan has carried out assignments dealing with all levels of the company, as well as external clients.
